School library

Running a school library: collection records, catalogue, reader forms, digitisation

How to organise it

  • Collection records

Inventory book or electronic system: number, author, title, year, price, acquisition source. Write-offs via act for wear/loss.

  • Catalogue

Alphabetical + systematic (simplified classification). In Google Sheets — a filterable table; in Koha/Irbis — full MARC records.

  • Reader forms

A form per pupil: book, issue date, return date, condition. Digitally — Google Forms + Sheets, or simple QR tracking.

  • Circulation

Loan period 7–14 days, class-based return reminders. Textbooks — for the school year with a handover act.

  • Collection & replenishment

Minimum replenishment ~10% of the collection per year (norms vary). Sources: school budget, parent committee (officially!), donations, exchange.

  • Stocktake

Annually before summer: reconcile collection with records, act for missing books, write off worn ones. Results to the principal by order.

  • Digitisation

Minimum: Google Sheets collection + Google Forms circulation. Systems: Koha (free, needs hosting), Ukrainian school solutions.

A school library runs under the standard regulation for school libraries. The collection is recorded in an inventory book/system with an annual stocktake. Digitisation via free systems (Koha, or even Google Sheets) saves hours.
